What are Saved Contacts?

Learn how to manage your contacts in Harness

Saved Contacts Overview

Your Saved Contacts are your donors, ticket purchasers, contacts who created a profile on their own, contacts that your organization manually added, or contacts that your organization imported into Harness. The Contacts > Saved Contacts section in Harness allows you to manage these contacts, view their information, create lists of contacts for text messaging, the option to export your contacts.


What Contact Information is Available?

From Saved Contacts, you can view any information that your contacts have provided. When creating their profiles, contacts are required to provide their first and last name, and their email address. Optionally, contacts may provide their phone number and mailing address. Through their personal donor profile, contacts may also add additional information about themselves.

When viewing your Saved Contacts in your Harness Dashboard, each of the fields below is available to view & export:

  • First Name

  • Last Name

  • Email Address

  • Date Account Created

  • Email Consent (On/Off) *currently not included in exports

  • Total Round-Up Donations

  • Total Monthly Donations

  • Total One-Time Donations

  • Total of ALL Donations

  • Phone Number

  • SMS Consent (On/Off)

  • Age

  • Employer

  • Job Position

  • Address

There are also separate tabs for Contacts vs Donors. The Contacts tab will show any contacts that have created a profile or that you added to Harness, while the Donors tab will only show contacts who have made a donation through Harness.

How to Search for and View Contacts

Using the search field in the upper right-hand corner, a specific contact can be searched by name (first, last, or both), but not by email address.

By clicking on a contact's name/email address, pull-over profile window will open on the right side of the page. Here, you will be able to view the contact's contact information and donation history. You can also edit their contact information if needed.

When editing their contact information, you will be able to add or edit the contact's:

  • Phone number

  • Email address

  • First and last name

  • Mailing address

  • Date of birth

  • Employer

  • Position (with employer)

You may also:

  • Add the contact to a text messaging list

  • Add a description or info about the contact

  • Disable texts (SMS consent)*

Editing a contact

*If SMS consent is disabled by you or the contact themself, you will be unable to re-enable SMS consent from their pull-over profile. However, SMS consent can be enabled again either by the donor logging into their personal donor profile and consenting to receive text messages or by you through the View as Donor tool.


How to Manually Add a Single Contact

A single new contact can be manually added to your Saved Contacts by selecting Manage Contacts in the upper right-hand corner, then selecting Add Contact.

When creating a new contact, you will be required to provide the contact's first and last name, and email address. You may also optionally provide their phone number.

Contacts added manually through Manage Contacts > Add Contact will not have text messaging enabled. If you have received consent from this contact to send them text messages, you can opt them into text messages using the View as Donor tool.

Alternatively, contacts can be added to Harness using the Upload Contacts tool, which will automatically enable texting if a phone number is provided for the contact during import.


How to Create a List of Contacts

Contacts can also be added to a new text messaging list, allowing you to send a mass text message to the entire list of contacts. To create a new list of contacts, select the checkbox to the left of the name of each contact you would like to add to the list, then select Actions > Create List found on the right side of the page.

You will then be asked to give the list a name and provide a brief description of the list so that your team members can have a better understanding of the purpose of the list.

How to Email or Text Contacts

You can also send emails or text messages to contacts from your Saved Contacts.

Emailing Contacts

To send contacts an email, select the checkbox to the left of the name of each contact you would like to email, then select Actions > Send Email on the right side of the page.

An email draft will open through your computer's default emailing application such as Apple's Mail app or Microsoft's Outlook app. However, web-based email accounts, such as Gmail, that you have not added to your computer's default mail app cannot be used.

To send emails to a contact, the contact's Email Consent must be enabled/ON. If the contact has not provided consent to receive emails or has opted out of emailing, you will be unable to send them emails through Harness.

Texting Contacts

To send contacts a text message, select the checkbox to the left of the name of each contact you would like to message, then select Actions > Send Message on the right side of the page.

To send a contact text message, the contact's SMS Consent must be enabled/ON. If the contact has not provided consent to receive text messages or has opted out of text messaging, you will be unable to send them text messages through Harness.


How to Export or Download Contacts

Contacts can be exported using the Manage Contacts button in the upper right-hand corner, then selecting Download Contacts.

Contacts will be exported as an Excel/CSV file, which you can open and view in any spreadsheet application such as Excel, Google Sheets, or Numbers.


How to Delete a Contact

If needed, contacts can be deleted one at a time from Harness by clicking on a contact's name/email address, and from there selecting the three dots in the upper right-hand corner of their pull-over profile, then choosing Delete Contact.*

As a safeguard, you will then be asked to confirm if you really want to delete the contact. If this is a mistake and you do not wish to delete the contact, press the Cancel button. Pressing the red Delete Contact button will proceed to delete them from Harness.* Before deleting the contact, you may optionally check the Report As Spam checkbox to alert Harness that this contact appears to be spam.

**WARNING: Deleting a contact is permanent and will result in the erasure of their donation history. Their donations will no longer appear in your Donations Report and any active recurring gift they created will be canceled. The contact will no longer be able to access their personal donor account, and both you and the donor will be unable to download copies of past donation receipts.


FAQs

Q: Why do some of my donors not appear in my Contacts tab?

A: In the past, one-time donors had the option to check out as a "guest" providing only their name and email address. These donors proactively opt-out of creating a donor profile/contact card (which you'll see when you click on a donor's name and either no contact card appears on the right or the card appears and is blank/empty). While their contact information does not appear in your Saved Contacts, you can search for your donor's name in your Donations Report & steward that donor via email.

Currently, donors who give using Apple Pay or Google Pay are considered to have checked out as guest and will not appear in your Saved Contacts. These donors will appear in your Donations Report, but when clicking on their name/email address no donor profile/contact card will open.

Q: Why have some of my donors created a donor profile but not made a donation?

A: It is not uncommon for a donor to create a donor profile but not yet make a donation. While we're unable to identify the intention of a donor who comes to your Harness fundraising page, most often this occurs when/because:

  • The donor intended to make a donation and got through the first part of "creating a donor profile" and "abandoned the cart" perhaps because they needed to go grab their credit card (or personal banking info if signing up for Round-Ups) & forgot to finish making their gift

  • The donor signed up to receive text message updates/alerts about your mission

Q: How do I text a contact through Harness?

Q: How do I change contact information for my contacts?

A: From your Saved Contacts, click on the donor profile you want to update & a slide-out individual donor profile will appear on the right side of your screen. Simply choose the blue "Edit Contact" option at the top, make your changes, click the blue "Save" button at the top.

Q: How can I send a donation receipt to my donor?

A: We automatically send your one-time and monthly donors instant email receipts after they make a donation and your donors can access their personal Donor Dashboard (through any of your Harness fundraising pages) to view and print donation receipts via this guide. You can now also download a PDF receipt directly from Donations Report > 3 dots to the right of gift > Download Receipt.

Q: How do I turn text messages OFF for a contact?

A: Donors can quickly and easily reply with the word "STOP" to any of your texts to be automatically unsubscribed.

Donors can also log into their personal Donor Dashboard through any of your fundraising pages > My Profile > Turn texts OFF

If a donor has responded to any of your texts, their message will appear here and admins can select the "Turn Messages OFF" button in the upper right corner of the conversation.

Q: How do I see new donors/contacts vs existing donors/contacts?

A: While the donations report does not show new vs existing donors/contacts, you may consider downloading your Saved Contacts (more info here) and utilize the "date created" column to see when each contact was added to Harness.

Q: I just added a contact but I'm not seeing them under my Saved Contacts. Why is that?

A: It can take a few minutes for the new contact to appear as a saved contact. Give it a few minutes and refresh the page. The contact should then appear as a saved contact.
